Bundling and Allocation of Newsletters


Getting regular ward newsletters delivered is a core part of winning more Green Councillors. We deliver to over 4000 homes in the wards we are campaigning in - that means a lot of organisation of paper and people!

Having a reliable bundling and allocation team in each ward
is an essential part of our work to get more Green Councillors.

This page explains the process that happens to ensure that ward newsletters get to the army of delivery volunteers waiting for them, within an agreed timeframe.

Ideally a small team in the ward covers the work between them, ensuring that if someone is away or unable to help with a specific newsletter, someone else can cover for them. The work can easily be split between ‘bundlers’ and ‘allocaters’ and ‘couriers’ - see below.

Overview of the process

  1. Receive newsletters from the printer at someone’s home.

  2. Bundle up the leaflets by weight, to match the delivery rounds within the ward to be covered; (Bundler)

  3. Contact the ward delivery volunteers to allocate a round to a volunteer ie get confirmation that volunteer X can definitely deliver a round by a set date. This is mainly done by sending personal WhatsApp messages. (Allocator)

  4. Either: Send round information to volunteer by whatsapp. Or Print out information to go with the bundles eg map, street instructions etc; (Allocator)

  5. Get the bundles out to ‘drop boxes’ from which they are collected by delivery volunteers. (Courier)

  6. Alert volunteers that bundles ready for collection, then track progress of delivery.


What's the time commitment?

Bundling. Probably takes around 2-3 hours, every 6 weeks from September to March. As we get closer the the May election, the frequency of newsletters increases.

Allocation. This is a ‘bitty’ job ie it requires someone who is happy to regularly check on messages and emails whilst the allocation process is underway. Doing the main allocation is relatively quick as we have many regular volunteers who cover the same round each time. Doing allocation also involves tracking information on a simple excel spreadsheet, liaising with the local party about volunteer information (new and departing volunteers) and being comfortable with using whatsapp, text and email.
