Confidentiality agreement
This Confidentiality Agreement outlines the need to maintain confidentiality when you process confidential data as an officer or volunteer for the Green Party. You may only sign this agreement if agree to undertake to comply with the obligations set out below.
You must not, either during or after termination of this
agreement, make use of or divulge to any person - who has not signed
this agreement - any confidential information of which you become aware
during the course of your activities for the Green Party. This includes
but is not limited to: names and contact details (e.g. address, email
address, phone number), voter registration status, voting history,
voting intention, and membership status within the Green Party. It also
includes other politically sensitive information related to the running
of the party (financial documents, strategy documents, etc). You must
also make all reasonable endeavours to prevent the publication or
disclosure of any confidential information. If you are unsure if
something falls under the remit of this agreement, please speak to a
Green Party staff member or Data Officer.
Data Protection Guidelines for Holding or Using Personal Data
The
information contained within electoral registers (or parts of), Green
Party member and supporter lists, completed surveys or canvassing
responses must only be used for the purpose(s) intended;
Confidential
information should not be transferred to any other external parties or
handled by non-members or unauthorised persons, except those who
expressly declare they support the Green Party and sign this agreement;
Copies
of confidential information should not be printed or saved to personal
devices unless there is a valid reason for doing so (e.g. for the
purposes of data entry). Once this purpose has expired, the information
should be securely destroyed or deleted from your devices;
Confidential
data should only be accessed from secure personal devices and not from
public computers. Copies of confidential data should only be held on
password (or otherwise) protected devices;
If copies of
confidential data needs to be transferred, it should only be done so to
authorised persons, when necessary, by secure means. You should send
files as password-protected email attachments (or upload with a password
to a shared folder) and send the password separately to recipients;
Paper
copies of personal information should be shredded before disposal or
(for electoral registers) returned to the council for secure disposal;

agree to comply with the above guidelines as well as my obligations
under the EU General Data Protection Legislation 2018 (EU GDPR) and the
Data Protection & Electronic Communications Regulation 2019 (UK
GDPR).
